Payment Methods and Make-up Policies
1. All scheduling of lessons will be done through our Acuity Scheduling which can be accessed through our website or the link in payment confirmations.
2. Scheduling will be done through the website: http://ponytailacres.org/lessonschedulecurrent/ password: student! Please make sure you have an account with Acuity. Further information on Acuity can be found on another page. Horse Shows and Clinics are also posted on the calendar on the above website. Scheduling Limits through Acuity: - There must be 30 hours before the start of the lesson for it to show up as available for you to schedule. If you want to get into a lesson slot last minute, please send a message to your instructor. - If the lesson is full (max number of riders in the lesson) it will not appear and the next available lesson of that level will appear as available. - You cannot cancel your lessons but may reschedule them if it is 24 hours before the start of the lesson. It is strongly recommended that when you get your first reminder that you have a lesson that your rider has a lesson you know you cannot make, let your instructor know ASAP as well as reschedule your lesson.
3. Class costs are:
There will be no refunds for paid lessons, packages, or subscriptions. No Exceptions.
Credit or Bank Draft Authorization AgreementI hereby authorize Pony Tail Acres to charge my credit card for all services and products related to my family's enrollment in classes and activities at Pony Tail Acres, including but not limited to tuition, registration fees, or late fees (Note: Fees are subject to change). I understand that my credit or debit card will continue to be charged on a monthly basis unless I submit the Pony Tail Acres withdrawal form 30 days before intent to discontinue. I have read this entire agreement and understand that I will be held fully responsible for its terms and conditions of service. I understand that once the monthly installments for my annual tuition have occurred there will be no refund given if I decide to discontinue. I agree to notify Pony Tail Acres, immediately of any change in the status of my charge account including but not limited to card expiration, name change, limitation of use, loss or theft of the card, etc. If the amount charged is refused for whatever reason, I accept responsibility for full payment for the amount charged as well as a late fee of $15.00.
4. All text, FB messenger, or email communications with Instructors, Barn Managers, Head Trainer, and Barn Owner must be by someone over the age of 18. If a minor is communicating with the instructor via text, a parent or guardian must be on the text stream to keep the Instructor in line with the SafeSport Policy. Minors should not “friend” their instructors on Facebook or other social media for the same reason. They may, however, “Follow” them on their social media pages.
5. Please make sure to arrive on time for your lesson as it is not fair for other students to wait for your rider. Please note that no refunds will be for missed classes, no-shows, or any other reason.
6. Weather will at some point play a factor in if your rider rides or not. Our rule of thumb that we use to gauge lessons is that if it is too hot or cold for a parent to sit and watch their rider ride at the picnic tables, it is possibly too hot or cold for the rider to ride. In summer, when the heat index is above 105*F we will be rescheduling lessons. In winter, when the real feel temperature is 35*F or below we will be rescheduling lessons. These are the temperatures that become a higher risk for both horses and riders, not to mention the instruction staff that are out in the weather for extended periods.
7. All riders are expected to come properly attired in pants, boots, and a shirt with sleeves (adult riders can have sleeveless tops as long as the shoulder portion of the shirt goes to the point of the shoulder). Riders who show up inappropriately dressed will need to change into appropriate clothing or risk a “no-show” lesson. This is for safety reasons as well as making sure that the rider will be comfortable in the riding activity.
8. Lesson students are not allowed to tamper with or disturb boarders’ equipment in the boarder tack room. Any student found going through the trainer's tack room or any of the boarder’s tack boxes or saddles will be removed from the program.
9. Our barn uses Remind (app and desktop versions available) to keep everyone updated with weather-related rescheduling for lessons, as well as the goings on of the farm. Information on signing up for Remind can be found below.
Lessons are run on a fairly tight schedule and you may not get to talk to your rider’s instructor for updates on progress and things your rider can work on at home. If you need to talk to your instructor you may call/text Mrs Dawn at 404-317-1052 and leave a message, call or text your instructor directly between the hours of 10:00 am and 6:00 p.m. Monday through Friday, or if the message is not urgent send an email info@ponytailacres.org and your message will be forwarded to your instructor.
