Front Office GURU, LLC (Front Office GURU) provides training, coaching, and consulting to private practice owners and their front office teams with the goal of creating Patient Care Coordinators.

A Patient Care Coordinator (PCC) is a specialized front office team member who has the skills needed to properly manage patients and handle their objections to getting care. They have a system for managing all current and potential patients and understand their role in the practice. When a front office team member is trained as a PCC, they’re more confident and have an extremely high ability to excel in their position. This creates job satisfaction and helps the practice thrive. It also ensures that more patients get the care they need.

This Training Services Agreement (“Agreement”) is a legal agreement between you (Client) and Front Office GURU, LLC. (“Front Office GURU”) and states the terms and conditions that apply to all online purchases of training and coaching services provided by Front Office GURU. “You” and “your” as used in this Agreement shall mean you individual, employees of your practice, now and any future hires, and the entity on whose behalf you are obtaining training and coaching services (“Your Practice”).

CAREFULLY READ THE FOLLOWING TERMS AND CONDITIONS BEFORE CLICKING ACCEPT. BY CLICKING ACCEPT, YOU AGREE TO BE BOUND BY THE TERMS OF THIS AGREEMENT; IF YOU DO NOT AGREE TO THESE TERMS, DO NOT CLICK THE CHECKBOX and your purchase will be terminated.

We suggest you keep a copy of this Agreement for your records.

Client hereby desires to engage the services of Front Office GURU. Front Office GURU has agreed to provide services to Client on the terms and conditions provided for herein. This Agreement shall govern and control the relationship and agreement between the parties.

By agreeing to the terms of this agreement, you acknowledge that you are registering for the agreed upon program as indicated by your selection today.

For one-on one front office training packages and group program: Fees are recurring on a monthly basis starting with your initial payment date. Fees have been set forth and will remain as indicated for the entirety of your participation in this program.

We use a third-party payment provider called Stripe. After today, you will be automatically debited from the card or bank account that you used for this payment method. You will have the ability to update your choice of payment by creating an account in Acuity on the payment confirmation page.

You agree to provide payment for the Training and Coaching Services in the stipulated currency (US dollar) and you will be liable to pay any relevant conversion charges, as well as applicable sales tax in your region. Please note that we must receive your payment in full each month before providing you with access to the Monthly Training and Coaching Calls.

Where Products are delivered to you via digital download (Dropbox) or other internet based medium, you will not have the right to change your mind. Once training files are shared, we are unable to provide a refund to you for that month. By agreeing to these terms set forth by Front Office GURU, you also agree to not contest a payment with your credit or banking institutions once payment has been paid.

It is your responsibility to ensure that you are able to put forth the effort to participate in this training and coaching program. You must also meet the system requirements, including compatible hardware, software, telecommunications equipment and Internet service, prior to purchasing this content and coaching service. We are unable to provide refunds where your access to the Products is inhibited due to insufficient system requirements. See Section B above.

In these circumstances, we will inform you in writing via the email provided with seven (7) days’ notice that your access to the Products will be restricted.

For one-on one front office training packages and group program: While we would prefer that you not leave this program and cancel your subscription, we require 28 days’ notice if you decide to leave the program. Notice must be in writing to the following email address: dee@frontofficeguru.com. If notice is not received, in the timely fashion noted above, payment will be due as expected on the next billing cycle.

If you request to cancel your participation in the Program, PLEASE NOTE, there are no refunds for previously shared content. As such, there can be no refunds once any content has been shared to Dropbox; content is shared within 24 of payment being processed by Stripe. By checking the box at checkout, you note that you understand and agree to this policy.

Front Office GURU does not discriminate against participants on the basis of sex, gender identity, age, race, color, national origin, socioeconomic or ethnic background, religion, sexual orientation, or disability. Discrimination against participants on the basis of sex, gender identity, age, race, color, national origin, socioeconomic or ethnic background, religion, sexual orientation, or disability will not be tolerated.

Front Office GURU does not share any participant records with third parties without express consent from the participant.

Unless otherwise specifically noted in the membership or course description page, training course packs and digital files will be provided by Front Office GURU via Dropbox on a monthly basis within 48 hours of payment being processed via Stripe. You will need a Dropbox account so files can be shared by Front Office GURU quickly and easily each month. All coaching calls will be conducted via Zoom.US online meeting rooms. Internet connections and phone/data charges incurred by Client are the sole responsibility of Client.

Client must have adequate internet access, a device with an updated web browser, and the ability to view PDF, Excel, Word, and Publisher files. One laptop per 2 meeting participants is required so your coach can see all participants during the video coaching calls. You also MUST have webcams on each laptop or computer so I can see you and/or your staff (if applicable) during the coaching calls. This allows me to establish a relationship AND note questions (I am trained to evaluate facial expressions).

Front Office GURU is not responsible for Internet connections of Client. Front Office GURU will reschedule any coaching call that is interrupted, for longer than 15 minutes, at no additional charge to the Client.

The total liability of Front Office GURU for any and all claims arising out of this agreement and the services to be provided shall be limited to the total compensation actually received by Front Office GURU from Client in connection herewith.

Except as specifically provided herein, Front Office GURU disclaims any and all warranties of any kind, express or implied, including, but not limited to, warranties of performance, merchant-ability, fitness for a particular purpose, accuracy, completeness, and current-ness. In no event shall Front Office GURU be liable to Client or anyone claiming through of for Client for any lost profits, commercial loss, loss of use, or any consequential, exemplary, incidental, indirect, or special damages. My goal is your success but I need you to work with me to obtain that success!

All complaints should be directed to Front Office GURU support dee@frontoffciceguru.com. At that time, I will contact you directly and we will have a phone discussion so I can learn more about any issues you are having with my program. The goal would be to come to a beneficial resolution to the matter. Please don't hesitate to reach out if there are any issues. Voxer voice messaging is a great way to contact me and it will save you time!

Any and all content and materials created, supplied, included, or provided by Front Office GURU in connection with any course or membership shall remain the sole property of Front Office GURU. Without limiting the foregoing, the parties acknowledge and agree that any and all right, title, and interest (including copyrights and trademarks) in and to the content, lectures, and recordings as originally presented as well as any training, study, or other materials provided (whether in print, video, audio or verbally presented, via email, download, Zoom call/recordings or ANY other format) are and shall remain the sole property of Front Office GURU. Any and all recordings of coaching sessions, while utilized by the Client, may not be sold, shared or used for any purpose outside of staff training within the Client’s place of business.

Client agrees not to distribute written or digital training materials or copies of recorded lectures or other materials received by Client from Front Office GURU, to anyone other than Client (or, if Client is a company, the Client's designated training participants) without the express prior written consent of Denise Bills (Dee Bills) and Front Office GURU. Client further agrees not to allow unauthorized persons to participate in the course in any manner or to view recorded lectures. If Client shares content outside of their own private practice, legal measures will be taken, and Client will be required to pay damages in excess of $50,000 per breach for breach of contract.

Please note, I have worked VERY hard on my training and systems so I can help other practices and their staff achieve success. And I have had content stolen from me and no credit given. Your payment includes permission by Dee Bills and Front Office GURU to use the training materials, digital files, and recorded Coaching Calls within the confines of your physical therapy practice and any clinics owned therein by you or the party you represent.

Client hereby grants to Front Office GURU complete rights to store and broadcast, recorded training and other lectures in which the Client participated or to which the Client may have made contributions. Such grant by Client specifically includes the right to include Client's voice in any such recording as long as such items are included only in a manner consistent with how they may have been a part of or appeared in such lecture originally.

Please note, I will ask prior to using any video/audio recordings that have occurred and you will be asked to sign an agreement prior to my doing so. If you are a one-on-one coaching client, I do not record meetings for my use without prior approval. I may record the meetings for you and share via Dropbox if you do not have a device that can record meetings (tablets and phones cannot record meetings which is why I recommend laptops or computers with webcams) Most often, you will record meetings on your end as I will give permission for you to record your meetings with me.

If you participate in a group training, those meetings are recorded on my end so they can be shared with the group of practices that participated in that training program. I do not sell those recordings to anyone else.

Any written materials, software, or other materials or items which may be provided to Client by Front Office GURU but which are not the property of Front Office GURU, Client agrees that such items are and shall remain the property of the owner of such items, that such items are being provided to Client with the permission or other agreement or authorization of the owner, and that Client's use of those items shall be subject to any applicable licenses, copyrights, or other agreements governing such items. Client may not share any of these items or downloads with another practice owner, either freely or sold, without express permission of the original owner.

No Hire. By agreeing to the terms of this contract, you agree to not hire any employee or contractor of Front Office GURU outside of this coaching and training, for the combined period of the term of the Agreement plus twelve (12) months following completion of the program or termination of the Agreement. In addition, Front Office GURU agrees to not hire your employees for the combined period of the term of the Agreement plus twelve (12) months following completion of the program or termination of the Agreement.

Governing Law; Venue. This Agreement and any disputes that may arise under, out of or in connection with this Agreement, shall be governed by and construed and enforced in accordance with the laws of the State of Virginia, and shall be binding on the parties to this Agreement in the United States and worldwide. The parties’ consent and submit to the jurisdiction of and venue in the courts of Loudoun County, Virginia. Each party waives all defenses of lack of personal jurisdiction and forum non conveniens. English is the governing language of this Agreement.

Indemnification. Each party shall indemnify, defend, protect, hold harmless, and release the other, its officers, agents, and employees, from and against any and all claims, loss, proceedings, damages, causes of action, liability, costs, or expense (including attorneys’ fees and witness costs) arising from or in connection with, or caused by any act, omission, or negligence of such indemnifying party or its agents, employees, contractors, subcontractors, or invitees. This indemnification obligation shall not be limited in any way by any limitation on the amount or type of damages or compensation payable to or for the indemnifying party under workers’ compensation acts, disability benefit acts, or other employee benefit acts. This indemnity provision survives the Agreement.

Equitable Relief; Attorney’s Fees. Each party agrees that any breach or threatened breach of the terms herein may cause the other party irreparable harm for which there is no adequate remedy at law. Consequently, either party may seek issuance, by a court of competent jurisdiction, an injunction, restraining order or other equitable relief in favor of itself, without the necessity of posting bond, restraining the other party from committing or continuing to commit any such violation. Any right to obtain an injunction, restraining order, or other equitable relief shall not be deemed a waiver of any right to assert any other remedy that may be available in law or in equity. If any proceeding is brought by either party to enforce or interpret any term or provision of this Agreement, the substantially prevailing party in such proceeding shall be entitled to recover, in addition to all other relief arising out of this Agreement, such party's reasonable attorneys' and other experts' (including without limitation accountants) fees and expenses. Without prejudice to the generality of the foregoing, if you fail to pay any fees or expenses when due, then you shall in addition pay all of Front Office GURU’s costs of collection, including without limitation reasonable attorneys' fees.

No one else has any rights under these terms – they are between you and Front Office GURU. No other person shall have any rights to enforce any of its terms. If you are acting on an unethical behalf, please note that you can and will be held accountable under these terms.
